TRAVEL AND TRANSPORTATION

What airfare is covered for travel to the party?

Airfare is covered for you and your spouse or significant other. Please see the PTP Employee Handbook - Expense Policy & Procedures for airfare and car rental guidance.

What workdays are covered for travel to the party?

Whichever day you need to travel (per the guidelines in the invite/rsvp forms), please note that Thursday is considered a workday, and travel should be booked as late as conveniently possible for your location and flight availability. Any time associated with travel for the party during business hours can be included on your timesheet in the Indirect section as “Travel to PTP Party.”

Do I need to arrange and pay for my own travel, hotel, and transportation to events?

PTPers only need to book their own flights and arrange for transportation to and from the airport for their arrival and departure. All other arrangements have been pre-arranged.

Do I need to rent a car?

PTP has pre-arranged transportation for all activities including the excursions and the party on Saturday night. Please take this into consideration when choosing transportation. See the PTP Employee Handbook - Expense Policy and Procedures for guidance on transportation. Uber is readily available from the airport.

EVENTS

Who can attend the Friday and Saturday night events? PTPers and their spouse or significant other are invited to attend the evening parties.

Who can attend the Saturday adventures (aka excursions)? PTPers and their spouse or significant other are invited to attend the Saturday adventures.

CHILDREN

Will there be babysitting services sponsored by PTP?
Check with the hotel for babysitting services. This would be a cost of the PTPer.

What costs are covered if I bring my kids?
No costs are covered for any accompanying children.

MEALS

What meals are covered for me and my spouse or significant other?
All meals are arranged and covered for you and your spouse or significant other during the party weekend (e.g.: Friday night, Saturday breakfast, lunch and parties and the excursions). Any other meals (e.g.: Friday before the party Sunday am) should be included in your Expense Report for August.

ADVENTURES (aka Excursions)

What if I don't want to go or don't like any of the PTP excursions?
We do our best to offer a wide variety of excursions and activities, including those that showcase what the area is best known for—whether it's outdoor adventures, cultural experiences, or local cuisine. Please know that participation in company-sponsored outings is completely optional. If you'd prefer to explore on your own, you're welcome to arrange non-company excursions at your own expense.

In some of the past parties, children have been invited to attend the excursions. What about this year?
This year, we're reverting to the original approach to our party of “Adults Only” at all party functions, including excursions.

If I want to go on more than one of the excursions on the same day or on another day, will this be covered?
You're more than welcome to arrange your own additional excursion at your own cost.

Spa treatments: If I want to modify the length of a treatment or choose one not on the excursion menu, how would I do this?
The length or type of spa treatment can't be modified.

HOTEL

What if we want to stay extra days? Can we do so at the hotel?
Yes, you can at your own expense. We’ll reserve the room for you. Please provide this information on the RSVP form.

EXPENSES

How do I obtain reimbursement for any reimbursable expenses described in the other FAQ questions?
Submit your receipts on your monthly expense report, following the Expense Policy and Procedures section of the PTP Employee Handbook.

CANCELLATIONS

What do I do if I have any changes to my arrival or departure dates or decide not to go on the excursion I RSVP’d to attend (or any other changes to reservations)?
We realize that “things happen” and sometimes you may need to change your plans. Once PTP commits to hotel rooms, headcount and excursions, we have a small window for refunds and others are non-cancelable once they’re reserved. Please be sure to notify Tiffany Liou as soon as possible.

DRESS

Is there a dress code for any of the events?
The entire weekend is “casual.” Dress appropriately for your selected excursion. Saturday night's theme is “Southern Charm.” Please note there are no requirements to purchase any items to wear to this event. If you need ideas, here are some suggestions:  

For summer “Southern Charm” party attire, men can opt for light-colored linen shirts, stylish lightweight chinos or tailored shorts, or casual suits, while women might choose flowy dresses with ruffles, puffed sleeves/sleeveless, chic jumpsuits, or elegant tops paired with skirts. Accessories like hats and simple/statement jewelry can enhance the Southern Charm aesthetic.
